4 Things To Consider Before Booking A Hotel Conference Room

When you are trying to impress a potential investor, client, employee, or ...anyone really... the use of a hotel conference room could really come in handy. Whether you are presenting your ideas, holding a training, or having a company party, there are many uses for a conference room; You just have to know what you are looking for.

1- Location, Location, Location. No matter what type of event you are holding, if the hotel you are holding it at is not centrally located, whats the point? There are hotels all over the world. That being said, why should you make everyone drive clear across the world in order to attend? Think about your target population that you would like to get to your event. Then try to get a conference room as close to them as possible, without forfeiting the comfort and quality you are desiring. Depending on the duration of your conference or event, you may also want to think about what restaurants are in the area. If your clients will have 30 minutes to an hour for lunch, they will need to run somewhere close in order to get fed.

2- Functionality. Think about the logistics of the event you are to hold. Do you need a projector? Is a good sound system a must? Depending on the hotel, those things may be provided, free of charge. They may even handle the set up and the take down of the chairs and tables you may need. Make sure to ask the receptionist when you call to inquire about the room. 

3- Cost. Many factors contribute to the cost of holding an event in a hotel conference room. Depending on the size, quality, and functionality, the room itself may set you back a bit. Some hotels will offer to set up for your event, though it is possible you will have to pay for that as well. Discuss the cost of the event in depth with the hotel, in order to avoid any surprises. The more questions you ask, the better.

4- Commodities. If your guests will be traveling to the event, will they be needing a room in order to attend? Though some hotels charge for the use of their conference room, they may offer a discount on rooms for your guests. Another commodity to consider is parking. Depending on how many guests you expect, the hotel may have you park in a separate location, or special lot.
